Arco is a company that over the years has acquired others in the field of education and one of troubles What is faced in doing so is dealing with the legacy, unify and centralize the information and content of these companies, to reduce costs and increase efficiency.

With that in mind, the scope of our challenge was to understand how we could reduce operational registration work from the digital book content that was on the legacy platform, to the current content management platform.
How do we solve

Solution

During the Discovery, we identified technical complexities onto migration From the contents of legacy platform For the content manager, mainly because the schools' platform is not prepared to consume digital books in HTML5 format. Thus, we decided to keep the content on the legacy platform and redirect it, in the form of a link, to schools.

All content in the manager is categorized by collection, year/series, and discipline, among others, essential information to ensure that the material reaches the correct user. However, the internal team would face the defiance from Recraster 2,700 digital books, raising the question: how can we reduce this operational work?

A proposed solution was the creation of a table of consumption links and completion codes that automates categorization. With this table, the user only has to copy the relevant information (link, code, and title) and paste it into the interface that we developed for this flow in the manager.

Results

● Reduction of Operational Labor: Automating the categorization process, reducing the registration burden from 2,700 digital books to a mass enrollment level.

● Intuitive Interface: Development of an interface that allows simple copying of information (link, code, and title), facilitating the workflow.

● Error Minimization: Automation reduces the likelihood of manual errors during registration, ensuring greater accuracy in categorization and avoiding inconvenience for ARCO and client schools.

Conclusion

By combining research, technology and a focus on people, we were able to overcome the complex challenges in the unification of educational platforms.

The implemented solution not only significantly reduced operational work, but also created an intuitive interface that minimizes errors and improves efficiency in registering content.

This project reaffirms Arco's commitment to innovate and optimize the Brazilian educational ecosystem, providing more dynamic and personalized learning for students, parents, and schools.
